Position Overview:

We are seeking a highly organized and proactive Executive Administrative Assistant to support our CEO. This role requires an experienced professional who can effectively communicate with C-suite executives and manage day-to-day operations. A strong background in the IT industry and advanced Microsoft Office skills are essential to excel in this role.

Key Responsibilities:

  • Scheduling: Manage the CEO’s calendar, coordinating meetings and events to maximize productivity.
  • Communication: Act as a liaison between the CEO and C-suite executives, maintaining a professional and responsive communication style.
  • Email Management: Proactively manage the CEO’s inbox, prioritize communications, and draft responses as needed.
  • Travel Coordination: Arrange professional and personal travel, including flights, accommodations, and transportation, with detailed itineraries.
  • Schedule Review: Collaborate with the CEO weekly to review priorities and commitments.
  • Important Dates: Maintain a calendar of significant dates and ensure timely reminders for the CEO.
  • Administrative Support: Prepare documents, handle correspondence, and manage filing systems.
  • IT Industry Knowledge: Leverage your IT industry knowledge to facilitate communication and support collaboration.
  • Advanced Excel Skills: Create and manage data reports and spreadsheets to assist the CEO in decision-making.

Qualifications:

  • Experience: 5+ years of administrative or executive assistant experience, preferably supporting senior management in a fast-paced environment.
  • Industry Knowledge: IT industry experience is preferred, with an understanding of technology services and suppliers.
  • Organizational Skills: Exceptional ability to manage multiple priorities and deadlines effectively.
  • Communication Skills: Excellent verbal and written communication skills, capable of interacting professionally with executives and staff.
  • Technical Proficiency: Advanced proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
  • Attention to Detail: Strong attention to detail and a proactive problem-solving approach.
  • Confidentiality: Ability to handle confidential information with discretion.
  • Interpersonal Skills: Mature, professional demeanor with strong interpersonal skills for effective team collaboration.

Preferred Qualifications:

  • Education: Associate’s or Bachelor’s degree in Business Administration, IT, or a related field.
  • Administrative Experience: 5+ years of experience supporting senior executives.
  • Travel Management: Proven experience managing professional and personal travel logistics.
  • Adaptability: Ability to thrive in a dynamic, fast-changing work environment.
  • Technical Expertise: Familiarity with CRM systems and project management tools (e.g., Slack, Microsoft Teams).
  • Customer Service: Strong customer service skills and a positive, professional demeanor.
  • Problem-Solving: Experience improving processes and increasing productivity.
